Meetings

Monthly meetings are held for the entire association on the second Sunday of every month. This regular exchange offers all members the opportunity to follow current developments in the association, provide feedback and participate in decision-making processes. During these meetings, not only are organizational matters discussed, but space is also created for the presentation of new ideas and the discussion of important topics.

In addition to the general association meetings, the Board members will meet separately on a different date to discuss operational matters. This additional meeting ensures that the Executive Board maintains a comprehensive overview of the association's internal and external operations on an ongoing basis. This enables the Board to intervene promptly if necessary and ensure that the association's activities run smoothly.

For urgent matters, the possibility of an Emergency Assembly (EA) has been created. This emergency assembly takes place when urgent issues need to be addressed and an "absolute majority" is required. This means that the majority of members must confirm the need for the Emergency Assembly by voting on it. This quick and democratic decision-making structure enables the association to react flexibly to unforeseen events and take appropriate measures.

Projects

Each member has the opportunity to submit a form to present a project that arouses personal interest. These forms serve as a starting point for the discussion and planning of the project.

The proposed team members must expressly agree to be part of the project. This agreement is documented on the form to ensure transparent communication and planning. This step ensures that each project team consists of motivated and committed members.

Before a project can be launched, the approval of at least two members of the Board of Directors is required. This hurdle ensures that the projects are in line with the overarching objectives of the association and receive the support of the Executive Board. This double confirmation ensures a well-founded selection and prioritization of projects.

The number of ongoing projects is influenced by the availability of members and resources. This ensures that each project receives appropriate attention and support. To ensure efficient implementation, the number of members for each ongoing project, including the project manager, is limited to a maximum of five. This limitation allows for focused collaboration and optimal use of resources for each project in the association.
